PERFETE TABLES

Rental Policies, Terms & Conditions

Perfete Tables is committed to providing exceptional tabletop rentals and professional service to wedding planners, event designers, caterers, and private clients. These policies establish clear expectations for ordering, payments, delivery, pickup, cancellations, and care of rental inventory.

All clients are required to review and accept these policies before their rental order is finalized.

1. ORDERING & RESERVATIONS

  • All rental orders must be submitted to Perfete Tables for review and confirmation.
  • Orders are subject to inventory availability.
  • A signed rental agreement and a 50% nonrefundable reservation deposit are required to secure an order, subject to applicable law and the signed agreement.
  • Inventory is not reserved until the required retainer has been received and written confirmation has been issued.
  • Clients are responsible for verifying all rental selections, quantities, colors, styles, event dates, venue details, and pricing before approving the invoice.
  • Additional items requested after confirmation are subject to availability and additional charges.
  • Verbal requests do not constitute an approved order modification.

2. PAYMENT TERMS

Reservation retainer: A 50% deposit of the quoted rental order total is due upon signing the rental agreement.

Final payment: The remaining balance is due no later than 14 calendar days before the event date.

  • Orders booked within 14 days of the event require full payment at the time of confirmation.
  • All payments must be received before delivery or pickup.
  • Failure to pay by the deadline may result in suspension or cancellation of the reservation in accordance with the signed agreement and applicable law.
  • Additional charges for approved changes, delivery services, missing inventory, or damages will be invoiced separately.
  • Payments must be made through an approved payment method.

3. ORDER CHANGES & ADDITIONS

  • All change requests must be submitted in writing.
  • Additions are subject to availability and payment of any additional charges.
  • Changes to the event date, venue, delivery schedule, or quantities require written approval.
  • Perfete Tables may decline changes that cannot reasonably be accommodated.
  • Clients are encouraged to finalize guest counts, table assignments, and design selections before final payment.

4. ORDER REDUCTIONS AFTER PAYMENT

Rental quantities and pricing become final once the final invoice has been paid, subject to the order-reduction terms below.

  • Requests to reduce quantities must be submitted in writing.
  • Order reductions requested more than 14 calendar days before the event may be considered for a rental credit at the discretion of Perfete Tables.
  • Order reductions requested within 14 calendar days of the event are not eligible for a credit, except where required by law or approved in writing by Perfete Tables.
  • Refunds are not automatically provided for removed rental items.
  • Delivery, pickup, labor, preparation, administrative, and other committed service costs are not automatically refundable.
  • Any approved credit will be documented in writing and will specify the eligible amount and expiration date.

Rental credit terms

  • Approved credits may be applied toward a future Perfete Tables rental order.
  • Credits expire six months after the original event date.
  • Credits are nontransferable and have no cash redemption value, except where required by law.
  • Future bookings are subject to inventory availability, current pricing, and applicable minimum-order requirements.
  • Credits cannot be combined with other promotions unless authorized in writing.

5. CANCELLATION POLICY

  • All cancellation requests must be submitted in writing.
  • The 50% reservation deposit is nonrefundable to the extent permitted by law and the signed agreement.
  • Cancellations after final payment do not automatically qualify for a refund or rental credit.
  • Perfete Tables may retain amounts permitted under the signed agreement to cover committed inventory, preparation, labor, administrative expenses, and other applicable cancellation costs.
  • Any approved refund or credit will be confirmed in writing.
  • Requests to transfer an order to another date will be treated as rescheduling requests and are subject to availability, pricing, and written approval.

6. DELIVERY POLICY

Delivery services are provided according to the approved invoice and confirmed delivery schedule.

Delivery scheduling

  • Delivery dates, time windows, venue addresses, and contact details must be confirmed before the event.
  • Clients must provide the name and telephone number of an authorized receiving contact.
  • Delivery times are coordinated according to the event schedule and delivery route.
  • Any special access requirements must be disclosed before the order is finalized.

Delivery fees

  • Delivery fees are quoted according to the event location, order size, transportation requirements, and services requested.
  • The applicable delivery fee will be listed on the approved invoice.
  • Additional charges may apply for stairs, extended carrying distances, restricted access, after-hours service, waiting time, redelivery, or special handling when these services are not included in the original quote.
  • Any required additional fees will be communicated and approved as required by the rental agreement and applicable law.

Delivery access

  • The venue must provide suitable access for unloading and placement of the rentals.
  • The client or authorized representative must be available to receive the items unless another arrangement is approved in writing.
  • Perfete Tables is not responsible for delays caused by inaccurate delivery information, venue restrictions not disclosed in advance, or an unavailable receiving contact.
  • Standard delivery does not include tabletop styling, unpacking, room setup, or installation unless specifically listed on the invoice.

7. PICKUP & RETURN POLICY

  • Pickup dates, times, and locations must be confirmed in advance.
  • All rental items must be accessible and ready for collection at the agreed time.
  • Items must be gathered and packed according to the instructions provided by Perfete Tables.
  • Clients must notify Perfete Tables promptly of any venue restrictions affecting pickup.
  • Delayed pickup caused by inaccessible or unprepared items may incur additional labor or waiting-time fees.
  • Extensions of the rental period require written approval and may incur additional charges.
  • Rental items may not be transferred to another location without written authorization.

8. DAMAGE, LOSS & MISSING ITEMS

All rental inventory remains the property of Perfete Tables.

  • Clients are responsible for reasonable care of rental items while in their possession or control.
  • Broken, chipped, cracked, stained, lost, stolen, or otherwise damaged items must be reported promptly.
  • Clients may be charged documented repair or replacement costs for damage beyond ordinary expected wear.
  • Items must not be discarded, permanently altered, or repaired without authorization.
  • Normal wear consistent with proper use will not automatically be treated as client-caused damage.
  • Charges will be assessed in accordance with the signed agreement and applicable law.

9. CLEANING & PACKING

  • Rental items must be handled and packed according to the instructions supplied by Perfete Tables.
  • Food, wax, floral debris, and other materials must be removed as directed.
  • Supplied crates, racks, and containers must be used when required.
  • Additional cleaning or repacking charges may apply for excessive soiling or improper handling when disclosed in the agreement.

10. VENUE & CLIENT RESPONSIBILITIES

Clients must communicate all relevant venue requirements, including loading access, parking, elevator restrictions, vendor documentation, insurance requirements, and delivery or pickup time limits.

The client is responsible for ensuring the venue is ready to receive the rentals at the confirmed delivery time. Additional labor or services required because of undisclosed venue restrictions may result in additional charges, subject to the agreed terms.

11. WEATHER & UNFORESEEN CIRCUMSTANCES

If severe weather, transportation disruptions, venue closures, emergencies, or other circumstances beyond reasonable control affect fulfillment, Perfete Tables will communicate promptly with the client and make reasonable efforts to identify a solution.

Rescheduling, credits, refunds, or other adjustments will be handled according to the signed agreement and applicable law.

12. ADDITIONAL CHARGES

Additional charges may apply to approved order changes, extra delivery attempts, extended rental periods, additional labor, special handling, missing items, documented damage, or other services not included in the original invoice.

Charges will be communicated and approved when required by the signed agreement or applicable law.

13. COMMUNICATION & WRITTEN APPROVALS

All cancellations, order changes, credit requests, delivery modifications, and pickup changes must be submitted in writing.

Changes are not effective until approved in writing by Perfete Tables. Clients should not rely on unconfirmed verbal instructions or third-party communications as authorization to change a rental order.

14. CLIENT ACKNOWLEDGMENT

By signing the rental agreement or submitting payment under the agreed booking terms, the client confirms that they have reviewed and accepted these policies.

The client acknowledges responsibility for reviewing the invoice, providing accurate event information, arranging appropriate delivery and pickup access, and safeguarding the rental inventory during the rental period.

These policies must be read together with the signed rental agreement and approved invoice. Applicable law will govern any conflicting provision.

DAMAGE WAIVER, DAMAGE & REPLACEMENT FEE POLICY

1. Damage Waiver Fee

Perfete Tables may offer a damage waiver fee equal to 10% of the eligible rental item subtotal. The fee and applicable terms will be disclosed on the invoice or rental agreement before the client accepts the waiver.

The damage waiver is intended to provide limited protection against certain accidental damage to eligible rental items during the authorized rental period. It is not an insurance policy, refundable security deposit, or guarantee that every incident will be covered.

2. Covered Damage

Subject to the terms of the accepted waiver, eligible accidental damage may include:

  • Accidental chips or breakage of eligible china and glassware.
  • Accidental breakage of eligible tabletop accessories during normal, authorized event use.
  • Other accidental physical damage specifically identified as covered in the written agreement.

Coverage applies only to items and incidents expressly included in the agreed waiver terms.

3. Damage Waiver Exclusions

The damage waiver does not cover the following unless expressly stated otherwise in writing:

  • Lost, missing, or stolen rental items.
  • Intentional damage, misuse, reckless handling, or unauthorized use.
  • Damage caused by improper packing, storage, transportation, or handling.
  • Excessive staining, wax buildup, or damage caused by failure to follow care instructions.
  • Damage caused by open flames, heat, or other hazards used contrary to product instructions.
  • Items not specifically included in the waiver.
  • Other losses or circumstances expressly excluded by the written waiver.

Clients remain responsible for excluded losses and damage to the extent provided in the rental agreement and permitted by applicable law.

4. Client Responsibility & Care of Inventory

All rental items remain the property of Perfete Tables. Clients are responsible for the reasonable care, safekeeping, and return of all rental inventory while it is in their possession or control.

Clients must promptly notify Perfete Tables of any damaged, missing, or lost items. Rental items may not be discarded, permanently altered, or repaired without authorization.

5. Repair & Restoration Fees

If an item is damaged but can reasonably be repaired or restored, Perfete Tables may charge the documented, reasonable cost of repair or restoration.

Repair charges may apply to:

  • Repairable chips, cracks, or breakage.
  • Stains or residue requiring specialized cleaning.
  • Damage requiring professional restoration.
  • Damaged packaging, crates, racks, or containers.

Ordinary wear consistent with proper rental use will not automatically result in a damage charge.

6. Replacement Fees for Lost or Damaged Items

Clients may be charged a replacement fee for rental items that are:

  • Lost, missing, stolen, or not returned.
  • Broken, chipped, cracked, or damaged beyond reasonable repair.
  • Stained or damaged beyond reasonable restoration.
  • Damaged through misuse or improper handling.
  • Otherwise rendered unsuitable for future rental due to damage attributable to the client or persons for whom the client is responsible under the rental agreement.

Replacement fees will be based on the documented, reasonable cost of replacing the item with an equivalent product, including applicable shipping, taxes, and directly related replacement expenses where appropriate.

Specialty, imported, custom-designed, or discontinued inventory may require a higher replacement cost if an equivalent item is difficult to obtain.

7. Damage Waiver & Replacement Charges

The damage waiver applies only to eligible damage specifically covered by the accepted waiver.

  • Eligible accidental damage will be handled according to the written waiver terms.
  • Lost, missing, or stolen items remain subject to replacement charges unless expressly covered in writing.
  • Damage excluded from the waiver may be subject to repair or replacement charges.
  • Perfete Tables will not charge both a full replacement fee and a separate repair fee for the same damage when those charges represent the same cost.
  • No charge will be imposed for a loss or damage to the extent that it is covered by the accepted waiver or otherwise prohibited by applicable law.

8. Inspection & Documentation

All rental inventory is subject to inspection upon return.

Perfete Tables may document damage or missing inventory using photographs, inventory records, supplier pricing, repair estimates, and replacement invoices.

Upon request, the client will be provided with an itemized explanation of applicable repair or replacement charges.

9. Billing & Payment of Charges

Repair and replacement charges will be invoiced after the returned inventory has been inspected and the applicable costs assessed.

Payment is due within the period specified on the additional invoice. Any collection of overdue amounts will be handled in accordance with the signed rental agreement and applicable law.

10. Client Acknowledgment

By signing the rental agreement and accepting the applicable damage waiver, the client acknowledges that they have reviewed and understand the coverage, exclusions, and potential repair or replacement charges.

The client understands that the damage waiver does not eliminate responsibility for lost, missing, stolen, or excluded items unless expressly provided in writing.
